Auto Filters allow users to set up naming rules that automatically select items for use in a selection rather than adding exact items in.
This allows for improved flexibility in saved selections as the auto filters will automatically update the list each time the database is updated rather than the user having to manually search for the new items or remove old ones.
Auto Filters only apply to Dictionary and Media Selections. The auto filter is the item in italics at the top of the search result list when one or more of the search functions are used.
To Set Up a Selection using an Auto Filter
Auto filters are set up utilising the Search functions at the top of any selection box in Dictionary or Media. Any combination of Starts With, Contains, Exact and Not can be used to create these. See How to Search in Selection Windows for more information on how to do this.
The actual auto filter will be the item in italics at the top of the search results. Click or Drag it as you would any other item into the Selected Pane.
In the Selected Pane - the auto filter name will have a
beside it. Click on this to expand the tree to see the list of items that the auto filter has generated.
For example:
If I wanted to find all Kellogg Coco Pop items - I could set up a rule to do this. This would mean that if Kellogg were to add a new item to it's Coco Pop range it would automatically add this to the list for me as long as the same naming structure is used by the data supplier.

To Exclude Item/s from the Auto Filter
Once an auto filter has been created - you can edit the list of items within the filter to exclude certain item/s.
To do so -
1) First create -OR- open a saved auto filter
2) Expand the auto filter in the Selected Pane to see the items contained within
3) Then delete the item or number of items in question and the auto filter will add a new 'layer' into the auto filter to reflect this rule.
For example:
If I wanted to find all Kelloggs Coco Pop items BUT exclude the item Kelloggs Coco Pops-Adult - I would set up a filter of 'Starts With Kelloggs Coc' and then once I've added that into the Selected Pane - I open up the list of items and delete the item 'Kelloggs Coco Pops-Adult' by clicking on it and pressing Delete button. This adds an extra layer to the rule as shown below.
